Responsibilities

Are you versatile and team-oriented? Do you want to join a team of dedicated employees? We have an opportunity for you! PolyWorks Europa is looking to fill the position of operations coordinator at its Czech subsidiary, located in Zlín.

 

You will oversee operations at PolyWorks Europa by assisting the sales, technical support, marketing, and administrative teams. You will also participate in cross-functional projects with colleagues from our head office in Quebec and other European subsidiaries as part of a continuous improvement process.

 

Are you feeling up to the task? Here are the responsibilities that you will undertake:

 

  • Sales Operations
    • Prepare quotes and support sales representatives (price confirmation, product information, etc.), process orders, and manage shipments
    • Draft and send renewal offers to clients and ensure follow-ups
    • Respond to various internal and external client inquiries (by email and phone)
    • Assign application specialists to sales activities (demonstrations, client visits, etc.)
    • Update our database (CRM)
  • Technical Support Operations
    • Manage all types of training with clients/distributors within our CRM: schedule dates, assign application specialists, draft lists of participants, ensure logistics for application specialists, prepare training certificates, assemble and send training packages as needed
    • Respond to the training inquiries submitted by our clients and distributors
    • Collaborate with the local technical director to plan application specialist assignments comprehensively based on skill, availability, and location
  • Marketing Operations
    • Contribute to the preparation of some seminars or key events (invitation and thank you campaigns, logistics) and occasionally attend events
  • Administrative Operations of the Zlín location
    • Supervise administrative operations by managing suppliers as well as supplies and welcoming customers when they come for training
    • Oversee expenses in coordination with VPs (business trips, etc.)
    • Act as a resource person for questions regarding social regulations (occupational health care, workplace hazards, etc.)

 

You will also be involved in various initiatives and projects to improve the overall user experience and efficiency of our internal processes.

Qualifications

  • Have at least three years of customer service experience in a sales team, ideally on an international scale
  • Be fluent in written and spoken English (advanced level) and be sensitive to cultural differences
  • Demonstrate a high level of curiosity and be able to analyze complex cases as well as report them to find solutions as a team
  • Show excellent remote communication skills (by email and phone) with internal and external clients
  • Be committed to client satisfaction by responding attentively to the needs of clients and partners
  • Be able to multi-task while being organized and detail-oriented
  • Will be considered assets:
    • Being proficient in another Eastern European language
    • Possessing extensive knowledge of a CRM tool (Salesforce)
