You are fluent in Italian, enjoy multi-tasking and want to join a team of committed people? We have an opportunity for you! PolyWorks Europa is looking for an Operations Coordinator to join its Operations team.

 

By joining us, you will contribute to PolyWorks Europa's operations by supporting the sales, technical support, marketing, and administration teams. As part of our continuous improvement, you will also take part in cross-functional projects with colleagues from the head office in Quebec and other European locations.

 

 

Does this challenge live up to your expectations? Here are your different responsibilities:

Responsibilities

Sales operations 

  • Prepare quotes and support sales representatives (confirmation of prices, product information, etc), process orders, and manage shipments
  • Prepare, track, and send renewal offers to clients
  • Respond to various requests from internal and external customers (via email and phone)
  • Assign application specialists to sales activities (demonstrations, visiting customers, etc.)
  • Update our database (CRM)

 

 

Technical Support Operations 

  • Manage all types of training with customers/distributors in our CRM: plan dates, assign application specialists, establish participant lists, provide logistics for application specialists, create training certificates, prepare and send training packages as needed
  • In collaboration with the technical director, coordinate assignments for application specialists based on skills, availability, and locations
  • Make welcome calls to our customers to introduce them to our customer portal and support activites, and take the opportunity to update their contact information in our CRM

 

 

Marketing operations 

  • Participate in the organization of certain seminars or key events (invitation and thank you campaigns, logistics) and ensure a presence at certain events
  • Manage potential customers in our CRM after events

 

You will also contribute to various projects and initiatives aimed at improving the user experience and efficiency of our internal processes. 

Qualifications

  • Have a minimum of 3 years of experience in customer service in a sales team, ideally internationally
  • Know how to work with a CRM (knowledge of Salesforce is an asset)
  • Be comfortable to communicate remotely (by phone and email) with internal and external clients
  • Demonstrate a strong concern for customer satisfaction by responding attentively to the needs of our customers and partners
  • Show curiosity and analytical skills suited for tackling complex cases and solving them collaboratively
  • Manage multiple tasks efficiently while maintaining attention to detail and strong organizational skills
  • Be proficient in written and verbal communication in Italian and English
